Are you preparing documentation to register a birth at the Italian Consulate, for a jure sanguinis citizenship application, or for any other consular procedure? In almost all of these cases, one of the required documents is a British birth certificate — but not in just any format: the Italian Consulate only accepts a specific version.

In this guide, we explain where to request it, which format to use, how much it costs, and what to do next to make it valid in Italy.

The Two Formats of the British Birth Certificate

In the UK, there are two versions of the birth certificate:

1. Short birth certificate

This is the free format issued at the time of birth registration. It contains only the child’s name, date and place of birth. It does not include the parents’ details and is not accepted for Italian consular purposes.

2. Full birth certificate (long form)

This is the complete format, which includes the details of both parents (name, surname, occupation, place of birth), the name of the informant, and the date and place of registration. It is the only format accepted by the Italian Consulate.

IMPORTANT: The Italian Consulate ALWAYS requires the Full Birth Certificate (long form), not the short version. If you only have the short certificate, you must request a new full copy.

Where to Request the Full Birth Certificate

Option 1 — General Register Office (GRO)

The General Register Office is the UK government body that holds all civil registration records in England and Wales. Certificates can be ordered directly online at GOV.UK, by post, or by phone.

• Standard service: 4-7 working days
• Priority service: 1-2 working days

The cost per copy is approximately £11-12 for the standard service, with additional fees for priority.

Option 2 — Local Register Office

If the birth was registered recently, the certificate can be requested directly from the Local Register Office of the district where the birth took place. Some local offices offer immediate in-person issue.

Option 3 — Multilingual Certificate (MSF)

The General Register Office also issues certificates in Multilingual Standard Form (MSF), which are exempt from apostille and translation if the destination country has signed the Vienna Convention of 1976. Italy is among the signatory countries.

To obtain the multilingual format, the birth must first be registered at the Local Register Office, then a request must be made to the GRO for issue in MSF format. This takes longer than the standard certificate.

TIP: If you are in a hurry or need the certificate for an urgent consular application, request the standard Full Birth Certificate first and proceed with apostille and translation. The multilingual format is useful but requires additional steps.

What to Do Next: Apostille and Translation

Once you have the Full Birth Certificate, to make it valid for the Italian Consulate you need to:

Step 1 — Request an apostille from the FCDO

The certificate must be sent to the FCDO (Foreign, Commonwealth and Development Office) for a paper apostille. The service is requested via the GOV.UK website.

Step 2 — Italian translation

The apostilled certificate must be translated into Italian by a professional translator. For British certificates (in English), the Italian Consulate does not require the translation to be legalised: it will verify it directly.

For the translation, it is recommended to use translators on the Consulate’s list of known translators, or a specialist agency such as Words at Hand.

REMEMBER: The apostille itself does not need to be translated — only the text of the birth certificate.

For Scotland and Northern Ireland

In Scotland, birth certificates are managed by the National Records of Scotland (NRS): nrs.scot. In Northern Ireland, by the General Register Office for Northern Ireland (GRONI): nidirect.gov.uk/gro. Legalisation procedures remain the same.
